Introduction and Who We Are

To comply with the requirements of the General Data Protection Regulation (GDPR), this page outlines our privacy policy and business practices around privacy and data processing.

We are Southbank Equestrian Centre LLP, a limited liability partnership registered in England and Wales with registration number OC423001 with registered office 39 Sackville Road, Hove, East Sussex, BN3 3WD. We are registered on the Data Protection Register via the Information Commissioner (ICO) with certificate number ZA444219. The data controller is Didi Wood.

We know that you care how information about you is used and shared and we appreciate your trust in us to do that carefully and sensibly. This Privacy Policy describes how we collect and process your personal information through this website, our booking systems and our legal forms (e.g. rider registration forms, arena liability waiver forms and similar).

Examples of Information Collected

You provide information to us when you:

  • email, phone or otherwise contact us;
  • complete our contact form;
  • complete our Holiday & Recuperation Livery Quote Request Form;
  • register and use our online booking system;
  • complete our rider registation form;
  • complete our facilities hire liability waiver and terms & conditions form;
  • place an order through our shop;
  • pay for something via the Paypal buttons on our web site;
  • permit us to take photos or videos of your equestrian activities; and
  • permit us to use your photos or videos on our website or elsewhere by completing a digital release form.

What information do we collect?:

  • your name, address, age, email and other contact details;
  • your horse/s name if for basic bookings but for holiday or recuperation livery you may also be asked for his age, height, weight, breed, characteristics, veterinary information, passport copy, vaccination status and all other information we may be required to collect on your horse;
  • diary information, e.g. when you have booked the arena and/or lecture room and what time and other relevant information;
  • payment information and delivery addresses;
  • Emergency contact details (name, phone number)
  • Medical information if we need to call e.g. emergency services
  • if permitted by you, your photos or videos of your equestrian activities;
  • content of reviews and emails to us;
  • information and documents regarding identity and standing; and
  • corporate and financial information, credit history information if relevant, VAT numbers (company only).

For what purposes do we process your information?:

  • so you may be set up on our online booking system whereby you and we can book you in for arena and facilities hire, training, clinics, events, etc;
  • so we may may know who to send information to if bookings are made;
  • to take and handle orders, deliver products and services, process payments, and communicate with you about orders, products and services, and promotional offers;
  • to recommend products and services that might be of interest to you, identify your preferences, and personalise your experience with us;
  • to communicate with you via different channels (e.g. phone, email, chat, messenger, Facebook etc);
  • so we can provide you with information such as upcoming events, offers and similar; and
  • In order to satisfy our insurer's requirements (rider registration forms, arena liability waiver & T&C forms).
  • to communicate with insurers and other relevant parties in the event of an insurance claim
  • to ensure our trainers, coaches and instructors have all your information to comply with their own insurance requirements and to teach you
  • So we can communicate with emergency services and your emergency contact if you have an accident

What About Cookies?

To enable our systems to recognise your browser or device and to provide the right version of the website to you (i.e. mobile device friendly) we use cookies. However they do not collect personal information from you.

Do we share your personal information?

Information about our clients is an important part of our business and we are not in the business of selling our clients' personal information to others. We share client' information only as described below that are either subject to this Privacy Notice or follow practices at least as protective as those described in this Privacy Notice.

  • Third Party Service Providers: We employ other companies and individuals to perform functions on our behalf. Examples include fulfilling orders for products or services, delivering packages, sending e-mail, processing payments, transmitting content, booking and processing payments for arena and facilities hire, training, clinics, events, etc, and also our guest instructors, trainers and coaches;. These third-party service providers have access to personal information needed to perform their functions, but may not use it for other purposes. Further, they must process the personal information in accordance with this Privacy Notice and as permitted by applicable data protection laws.

How secure is information about me?

We design our systems with your security and privacy in mind.

  • We work to protect the security of your information during transmission by using Secure Sockets Layer (SSL) software, which encrypts information you input.
  • We only use payment facilities (PayPal) who follow the Payment Card Industry Data Security Standard (PCI DSS) when handling credit card data.
  • We maintain physical, electronic and procedural safeguards in connection with the collection, storage and disclosure of personal customer information. Our security procedures mean that we may occasionally request proof of identity before we disclose personal information to you.
  • It is important for you to protect against unauthorised access to any facilities and to any passwords used in connection with our services, such as your password for the online booking system, PayPal access credentials and also the passwords to your computers, devices, and applications. Be sure to sign off when you finish using a shared computer.

What about links to other websites?

Our website may include links to other websites and apps that we feel may be useful to you. However, this privacy policy only applies to Southbank Equestrian Centre and does not cover such other websites. You should note that you use such other websites at your own risk and note that they will have their own terms and conditions and privacy policies. What information can I access?

You can access any information which you have provided to us, including payment information, purchase history, rider registration and other legal forms, upon request. You can access any information you used when registering for the online booking system, along with any bookings you have or had made, by visiting the online booking system web site.

  • You can choose not to provide certain information (such as that on forms or legal documents) but this may mean you will be unable or not allowed to take advantage of our services since many of them require us to have certain information to satisfy our insurers.
  • You can add or update certain information on pages such as those referenced in the Information You Can Access? section above. When you update information, we usually keep a copy of the previous version for our records.
  • If you don't want to receive e-mail or other communications from us, or want to be removed from the online booking facility, please email with "UNSUBSCRIBE" as the subject line.

Are children allowed to use our services?

We do not knowingly sell products for purchase by children, even though we may sell children's products or provide children's events (such as pony club events) but only for purchase or booking by adults. If you're under 18, you may use this website and our Services only with the involvement of a parent or guardian.

How long do we keep your personal data?

We keep your personal information to enable your continued use of our services, for as long as it is required in order to fulfil the relevant purposes described in this Privacy Notice, as may be required by law such as for tax and accounting purposes, or as otherwise communicated to you. For example, we retain your transaction history so that we and you can review past purchases (and repeat orders if desired) and what addresses you have shipped orders to, and to improve the relevancy of products and content we recommend. We retain legal forms you will have signed in order to use our services (e.g. arena insurance liability waiver forms, rider registration forms and similar) for a period of five years.

In that case, the "Last Updated" date at the top of this page will change also. Any changes to this privacy policy will apply to you and your data immediately. We stand behind the promises we make, however, and will never materially change our policies and practices to make them less protective of customer information collected in the past without the consent of affected customers and in any event if these changes affect how your personal data is processed, we will take reasonable steps to let you know.
